This document is an instruction guide, designed to walk you through using the Encompass Training or Demonstration area. This environment is an exact replica of the functionality in the ‘live’ system. However, all reports you run are at no cost and the data you will use is only a sample of what can be achieved using the real registers and live databases of the authorities we partner with.

The tables below provide a series of ‘Example Exercises’ which you can complete, in order to experience the basic functionality that encompass has to offer. Specific ‘search data records’ are listed within each exercise, for the different ‘search types’ available. Use these records and follow the corresponding ‘instruction steps’ provided.  You will not be able to deviate from the steps and search criteria to use.

SCENARIO

Using this scenario, the following searches and steps will showcase all the key features of Encompass.

You are reviewing an application for a loan received from Paul Pettigrew for his company Mach Technology Group Pty Ltd. You wish to confirm the status of this company and identify any other companies Mr Pettigrew has an interest in.

You commence your research by undertaking an ASIC Company Current & Historical Extract, followed by an ASIC person current & historical extract on Paul Mackenzie Pettigrew.

You ­­also note that ASIC lists Mr. Pettigrew with an address in New Farm, Queensland.  You undertake a Land Title search on his address to confirm if the title for this property is held by Mr. Pettigrew.

  1. Create a Workspace
  2. Select Policy Conflict of Interest
  3. Enter Mach Technology Group Pty Ltd
  4. Click on Action required for the ASIC Person Current Extract
  5. Select Lim, Yikang Jonathan DOB 27 Feb 1979
  6. Close the Policy Manager
  7. Open the Chart/Documents and List Views
ASIC Current & Historical Extract MACH TECHNOLOGY GROUP PTY LTD
  1. Create a Workspace
  2. Select ASIC Company Search 
  3. Enter Mach Technology Group Pty Ltd
  4. Select the record for 115162564
  5. Click Submit
  6. Select the ASIC Company Current & Historical Extract
  7. Click Submit

ASIC Person Current & Historical Extract Paul Mackenzie Pettigrew
  1. Open the Chart view
  2. Click on Paul Mackenzie Pettigrew
  3. Click on the Follow-on search button at the top of the screen
  4. Select an ASIC Person Current & Historical Extract (Information search)
  5. Select the middle record for Paul Mackenzie Pettigrew 
  6. Purchase the New Report - Click Submit

Add a Note Paul Mackenzie Pettigrew
  1. Click on Paul Pettigrew
  2. Open the Details panel
  3. Add a Note to alert your colleague that Mt Pettigrew is a Former Director of Hot Chilli Software Pty Ltd, now a De-registered company.

    4. Close the Details

PPSR Organisation Grantor Search

CUSTOMTEC PTY LTD
  1. In the Chart View - Open the Details panel
  2. Under Company entities - focus in on Customtec Pty Ltdfocus.jpg
  3. De-focus and select the entity

Note the difference between the two features. The details panel now has information related to Customtec Pty Ltd

5. Right-click and select Follow-on Search

You can also click on the Follow-on search button

6. Select a PPSR Organisation Grantor Search

7. Purchase the ACN report - Click Submit

8. Open the Chart view

9. Select CUSTOMTEC PTY LTD

10. Apply a hierarchy layout

Filter the Chart You want to focus on a specific subset of the data

1. Click on the More Toolbar button

2. Select Chart Filter

3. Expand the Reports section at the top of the Filter panel

4. Uncheck all the reports except the PPSR

5. Close the Chart Filter panel

 Retrieve PPSR Certificates  

7.Open the Documents view.

8. Click to Retrieve PPSR Search Certificates.

  • Sort the Collateral Class field by clicking on the Heading
  • Select to retrieve the All PAAP certificate

9. Click on Download Combined Reports

Note: Encompass also includes a PPSR Summary report as well as an Excel spreadsheet with the PPSR Registration details.

Share the Workspace  
  1. Open the Overview
  2. Click on Share
  3. Copy a View-only link or Copy an edit link

This will copy the link to the clipboard. You can paste it in an email to send to a colleague. Depending on the link you copy, the recipient will have read-only access or read and write.
